Key Responsibilities

Office Management

  • Manage and maintain office operations to ensure the workplace is safe, clean, and fully functional.
  • Monitor and manage the end to end process of office supplies and pantry inventory; manage office assets such as PCs, monitors, and other equipment; arrange purchases when needed; manage payments and collect invoices and supporting documents.
  • Organize internal meetings, company events, and employee well-being activities.
  • Manage office renovation and repair projects, as well as post-maintenance work.
  • Work effectively with and manage vendors.

Compliance and Documentation

  • Coordinate with third-party service providers and relevant authorities to maintain ongoing compliance: Ensure all corporate procedures and documentation, including ERC, BOC, IRC, visas, work permits, temporary residence cards, fire safety, and related matters, comply with Vietnamese regulations.

Cross-Functional Support

  • Analyze and improve the efficiency of administrative processes, including purchasing, record management, facility management, and asset tracking.
  • Provide expatriate support services, including housing arrangements, schooling for expatriates’ children, and other daily-life assistance.
  • Manage contracts and work with vendors, lawyers, and managers to draft contracts for company-used services.
  • Support employee onboarding and offboarding procedures in accordance with company regulations.
  • Arrange business travel services such as flight tickets, accommodation, SIM cards, travel insurance, transportation, and related logistics; manage travel expenses and prepare business trip decisions and related documents.
  • Manage internal Japanese language test cycles twice a year, including planning and proposing improvement measures to strengthen employees’ Japanese capability.
  • Develop and maintain standard operating procedures (SOPs) and manuals for administrative and office processes to improve efficiency.

Your Skills and Experience

Must have

  • Bachelor’s degree in Business Administration, Law, Languages, or related fields.
  • At least 3-5 years of experience in Administration, Office Management, or similar roles.
  • Language: Japanese language proficiency (JLPT N2 equivalent) is required.
  • Proficiency in MS Office; knowledge of Vietnamese labor and immigration laws.
  • Attitude: Resilience, detail-oriented, and multi-tasking ability.
  • Everyday Office attendance required

Nice to have

  • Strong communication in English
  • Experience working at a Japanese IT company is a plus.
